To improve the management of historical course materials and student assignments, Yuan Ze University will adjust the online retention and access policy for historical data starting September 1, 2026. Course materials and student assignments older than 10 years will be removed from the online system and transferred to offline archival storage.
Faculty members and students who may still need historical course materials or student assignments are strongly advised to download and retain the required files before they are removed from the online system.

- Starting September 1, 2026, course materials and student assignments older than 10 years will be removed from the online system and transferred to offline archival storage.
- The archived data will not be deleted and will remain preserved in offline storage. However, it will no longer be available for immediate online access.
- Beginning in 2026, this archival process will be conducted annually on September 1 for data older than 10 years.

Once historical data has been transferred to offline archival storage, it will no longer be immediately accessible through the online system. Faculty members and students who still need historical course materials, personal assignments, or other related files are advised to log in to the system and download the required data before it is archived.
Faculty members and students are also encouraged to periodically review their course materials and assignment data and maintain personal backups of important files or materials that may be needed for long-term use.
- Retrieval of Archived Data
If archived materials are required for teaching, administrative, or other special purposes after they have been removed from the online system, please follow the procedure below:
- Submit a request to the Teaching Services Section, Office of Academic Affairs, and complete the “Historical Course Material / Student Assignment Retrieval Request Form.”
- After the request has been reviewed by the Teaching Services Section, it will be forwarded to the Systems Development Section, Office of Library and Information Services.
- The Systems Development Section will retrieve and export the requested data from offline archival storage based on the approved request.
Please note that archived data requires additional mounting and retrieval procedures and cannot be provided through immediate online access. Faculty members and students who wish to retain materials for future use are therefore strongly encouraged to download and save them in advance.
